Summary
This Privacy Policy explains how Scale X Solutions ("Company," "we," "us," or "our") collects, uses, discloses, and safeguards personal information when you visit https://www.scalexsol.com (the "Site") or use related products and services that link to this notice (collectively, the "Services").
We are Scale X Solutions, a company registered in Virginia, United States at 8229 BOONE BLVD STE 320, VIENNA, VA 22018. You can contact us at support@scalexsol.com or by phone at (+1)5714929714.
ScaleXSol helps businesses connect search, websites, marketing and automation. This notice covers the website, online enquiry forms, growth-plan downloads, optional AI chat, browser storage used by the Site, and related support communications.
If you do not agree with this Privacy Policy, please do not use the Services. By using the Services, you acknowledge this notice. Where consent is required by law, we will ask for it before the relevant processing begins.
1. Information we collect
Information you provide
We collect personal information that you choose to submit, including:
- Contact and identity details such as name, email address and phone number.
- Business details such as company website, service interest, project description, assessment answers and campaign labels that accompany an enquiry.
- Messages you send through AI chat, contact forms or follow-up emails, including optional business-website context shared in chat.
- Consent records when you agree to the use of your details for an enquiry or chat session.
Information collected automatically
When you visit the Site, our hosting and security systems may process technical request data such as IP address, browser type, device information, approximate location derived from the network request, referring URL, pages requested, and timestamps. This information is used to deliver, secure and diagnose the Services.
Browser storage
The Site may store preferences and working drafts in your browser (for example page-tree settings, visited-page markers, assessment details and a temporary growth-plan draft). These records remain on your device unless you submit an enquiry, request a growth-plan download, or clear them in your browser settings.
Information we do not intentionally collect
Please do not submit passwords, payment-card numbers, government identification numbers, health information, or other sensitive personal data through the Site, forms or AI chat. This build does not install marketing analytics pixels or advertising cookies for third-party ad targeting.
2. How we use your information
We use personal information to:
- Respond to enquiries, growth-plan requests and AI chat sessions.
- Prepare and send follow-up communications about the services you asked about.
- Operate, secure, troubleshoot and improve the Site and related services.
- Maintain records needed for customer support, fraud prevention, abuse prevention and legal compliance.
- Honour your requests relating to access, correction, deletion or communication preferences.
We do not sell personal information. Submitting an enquiry, downloading a growth plan or starting a chat does not automatically subscribe you to a marketing newsletter.
3. Legal bases for processing (GDPR / UK GDPR)
If you are in the European Economic Area, the United Kingdom or another region with similar rules, we process personal information under one or more of the following legal bases:
- Consent — for example when you agree to AI chat processing or voluntarily submit an enquiry form after being shown this notice.
- Contract / steps prior to a contract — to respond to a service request and take steps at your request before entering an engagement.
- Legitimate interests — to secure and operate the website, prevent abuse, improve reliability and respond to business enquiries, where those interests are not overridden by your rights.
- Legal obligation — where we must retain or disclose information to comply with applicable law.
You may withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing before withdrawal. Withdrawal may mean we can no longer provide the related feature, such as continuing an AI chat session.
4. Enquiries and growth-plan downloads
Submitting the contact form sends your name, email, phone number, service choice and project details to ScaleXSol’s configured enquiry service for delivery to support@scalexsol.com. Growth-plan downloads require your email and send it with your assessment and recommended service before the download starts.
We use these details to respond about your enquiry or plan. Campaign labels and service-specific answers may accompany submissions. Receipt is confirmed only when the enquiry service accepts the request.
Calculators and the contact form’s separate brief-copy download can run locally in your browser. A temporary draft may carry your plan and email to the contact form within the same browser tab.
5. AI chat enquiries
AI chat asks for your name, email and phone before a conversation begins. A business website is optional. When you agree and start a chat, ScaleXSol stores your details, consent, source page and conversation so we can handle your enquiry.
Chat messages and business-website context are sent to the configured AI provider (Groq for the free-tier chat, or OpenAI if selected) to generate replies. Your contact email and phone are not added to AI prompts. Replies may be inaccurate, and custom scope or additional charges still require team confirmation.
A secure session cookie lets you continue a chat for up to 24 hours across pages. Conversations older than 90 days are removed by routine cleanup when chat or the enquiry inbox is used. Ending a chat closes the session; it does not by itself delete the enquiry record.
Choosing “Send to our team” requests a human follow-up and sends your details and conversation to support@scalexsol.com through the configured delivery path. You are not automatically subscribed to marketing.
8. International data transfers
The Services are hosted in the United States. If you access the Services from the EEA, UK or another region with different data-protection rules, your information may be transferred to and processed in the United States and other countries where our providers operate.
Where required, we rely on appropriate transfer mechanisms such as the European Commission’s Standard Contractual Clauses, the UK International Data Transfer Addendum, provider certifications or other lawful safeguards, together with technical and organisational measures.
By submitting an enquiry or starting a chat from outside the United States, you understand that your information will be processed in the United States as described in this notice.
9. How long we keep information
We keep personal information only for as long as needed for the purposes described in this notice, unless a longer period is required or permitted by law:
- Enquiry and follow-up records — retained while we handle your request and for a reasonable period afterwards for support, accounting and dispute purposes.
- AI chat sessions — conversation records are routinely removed after 90 days; the browser session cookie expires within 24 hours or when you end the chat.
- Browser storage — remains on your device until you clear it or it expires according to the feature that created it.
- Security and hosting logs — retained according to the hosting provider’s operational and security needs.
When information is no longer required, we delete it or irreversibly anonymise it where deletion is not immediately feasible.
10. How we keep information safe
We use administrative, technical and organisational measures designed to protect personal information, including HTTPS transport, access controls for operational systems, secure session cookies for chat, and routine cleanup of older chat records.
No method of transmission or storage is completely secure. You are responsible for keeping any credentials for your own accounts confidential and for not submitting sensitive information through public forms or chat.
11. Minors
The Services are intended for users who are at least 18 years old. We do not knowingly collect personal information from children. If you believe we have collected information from a person under 18, contact support@scalexsol.com and we will take appropriate steps to delete it.
12. Your privacy rights (GDPR / UK GDPR)
If the GDPR, UK GDPR or a similar law applies to you, you may have the right to:
- Access — request a copy of personal information we hold about you.
- Rectification — ask us to correct inaccurate or incomplete information.
- Erasure — ask us to delete personal information in certain circumstances.
- Restriction — ask us to limit processing in certain circumstances.
- Portability — receive personal information you provided in a structured, commonly used format where technically feasible.
- Object — object to processing based on legitimate interests, including profiling where applicable.
- Withdraw consent — where processing is based on consent.
- Lodge a complaint — contact your local data-protection authority if you believe our processing infringes applicable law.
To exercise these rights, email support@scalexsol.com with enough detail for us to locate your enquiry or chat record. We may need to verify your identity before fulfilling a request. We will respond within the period required by applicable law.
If you are in the EEA, you may contact your local supervisory authority. If you are in the UK, you may contact the Information Commissioner’s Office (ICO).
13. California privacy notice
If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the CPRA, may give you rights to know, delete and correct personal information, and to opt out of the sale or sharing of personal information for cross-context behavioural advertising.
We do not sell personal information or share it for cross-context behavioural advertising. Categories of information we collect are described in section 1 and used for the business purposes in section 2.
To make a request, email support@scalexsol.com. We will not discriminate against you for exercising privacy rights. If a complaint with us is not resolved, California residents may also contact the Complaint Assistance Unit of the Division of Consumer Services of the California Department of Consumer Affairs as described in our Terms and Conditions.
14. Do Not Track
Some browsers offer a “Do Not Track” signal. Because there is no consistent industry standard for responding to that signal, the Site does not currently respond to Do Not Track requests. You can control cookies and browser storage through your browser settings.
15. Third-party websites and services
The Services may link to third-party websites, tools or platforms. Those services have their own privacy practices. We are not responsible for their content or data handling. Review their notices before providing personal information to them.
16. Updates to this notice
We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page shows when it was last revised. Material changes will be posted on this page and, where appropriate, communicated by email such as Hello@scalexsol.com or support@scalexsol.com. Continued use of the Services after an update becomes effective means you acknowledge the revised notice.
