Field notes / practical guide

Webhook reliability checklist

A reliable webhook workflow assumes events can arrive late, repeat or fail during processing. Design for those conditions before expanding automation.

Validate the incoming event

Use the provider’s supported authenticity checks and verify the required fields. Keep credentials out of logs and client-side code. Record enough event context to investigate problems without retaining unnecessary personal information.

Put it in context

Lead routing and exception handling

Inspect validation, duplicate checks, destinations and exception handling.

Make retries safe

Choose a stable event identifier and define how already-processed events are recognised. Separate receipt from downstream work where appropriate. A retry should not silently create a second invoice, message or customer record.

Make failures actionable

Use bounded retries, alerts and an exception queue with an owner. Provide a controlled replay process and a runbook. Review the provider’s current delivery contract because retry behaviour and guarantees differ between systems.

Put the guidance to work

Capture your starting point, assign an owner to the next action, and decide what evidence will confirm that it worked.
